What to Expect at AvaOne

A clear walk-through of your first visit, from scheduling and intake to your assessment, follow-up, and ongoing care. The AvaOne experience is designed to feel different from a conventional medical visit, with the time and depth your health actually deserves. 

Before Your First Visit

When you request a Future Self Assessment or a $79 StemWave Discovery Assessment, our team will contact you within one business day to schedule your visit, typically within seven business days of your request. During this initial contact, we confirm the program of interest, gather basic intake information, send you the new patient forms electronically, and answer any questions about preparation. 

The new patient intake includes a comprehensive medical history form, current medication list, family history of cardiovascular and metabolic conditions, prior lab work and imaging if available, lifestyle and goals questionnaire, and HIPAA acknowledgment. Completing the intake before your visit allows your physician to review your information in advance and use the full appointment time for clinical evaluation and planning rather than paperwork. 

For patients scheduled for a Future Self Assessment that includes lab work, you may be asked to fast for ten to twelve hours before your appointment depending on the specific labs being ordered. Our team will provide specific fasting instructions during your scheduling confirmation. Water and necessary medications are typically permitted during the fasting period, but specific guidance will be provided based on your individual situation. 

What to Bring to Your Appointment

To make your first visit as productive as possible, please bring or have available the following items. If you have completed your intake forms electronically before your appointment, much of this information will already be on file. Bringing physical or electronic copies of recent records ensures your physician has the complete picture during your evaluation. 

    • Photo identification (driver’s license or other government-issued ID)
    • List of current medications including prescription, over-the-counter, and supplements
    • Recent lab results from the past twelve months if available
    • Recent imaging reports (cardiovascular, musculoskeletal, or other relevant studies) if available
    • Insurance card if applicable (note: AvaOne is a cash-pay practice; insurance is collected for coordination of care with your primary care physician and specialists, not for billing)
    • Payment method for visit and program fees
    • Comfortable clothing for any physical examination components
    • Water bottle and a light snack for after your visit if you are fasting for labs 

At Your Visit

What happens during your time at AvaOne depends on which program you are starting with. Here is what each looks like. 

Subsection 4a:

Future Self Assessment (Vitality Program or Lifestyle and Wellness Coaching)

Your Future Self Assessment is a comprehensive ninety-minute physician evaluation. The visit includes detailed medical and lifestyle history review, focused physical examination, ordering of appropriate advanced lab work, and an initial discussion of your goals and the program structure. For most patients, lab work is drawn on-site during the visit or coordinated through a partner lab for your convenience. 

You will leave the visit with a clear understanding of what tests have been ordered, when results will be available, when your follow-up visit will occur, and what the next steps look like. The follow-up visit, typically scheduled two to three weeks after your initial assessment, is when your physician walks through your complete clinical picture and your personalized plan. 

Subsection 4b:

$79 StemWave Discovery Assessment (StemWave Therapy)

Your StemWave Discovery Assessment is an in-person physician evaluation that typically lasts thirty to forty-five minutes. The visit includes detailed pain history review, focused musculoskeletal examination of the affected area, and an honest determination of whether StemWave is the right treatment for your specific condition. When clinically appropriate, a brief sample application of StemWave is included so you can experience the treatment.

If StemWave is right for you, your physician presents a personalized treatment protocol with specific session count, frequency, expected timeline, and transparent pricing. There is no pressure to commit on the day of the assessment. If StemWave is not the right approach for your condition, your physician will tell you honestly and may recommend other appropriate options. 

After Your Visit

After your Future Self Assessment, lab results typically return within five to ten business days depending on the specific tests ordered. Your follow-up visit, scheduled two to three weeks after your initial assessment, is when your physician walks through your complete clinical picture and your personalized program plan. For Vitality Program and Lifestyle and Wellness Coaching members, this follow-up visit officially begins your program. 

For StemWave Therapy patients, the first treatment session is typically scheduled within one to two weeks of your Discovery Assessment. Subsequent sessions are scheduled at the cadence appropriate for your treatment protocol, generally one to two weeks apart. 

Between visits, you have access to direct messaging with your physician for non-urgent questions. The Vitality Program and Lifestyle and Wellness Coaching Program both include this direct access as part of the ongoing care model. Direct messaging is not a substitute for emergency or urgent care; for urgent concerns, please contact your primary care physician or seek emergency care as clinically appropriate. 

Payment and Pricing

AvaOne is a cash-pay practice. We do not participate with health insurance networks. This structure allows us to spend significantly more time with each patient than insurance-driven medicine typically permits, deliver the advanced testing and lifestyle medicine that most insurance does not reimburse for, and operate with the transparency that our patients deserve. Pricing for each program is disclosed clearly before any commitment is made.

We accept major credit cards, debit cards, HSA and FSA payments, and electronic payment methods. Pricing is transparent and disclosed before any commitment. For patients who prefer payment plans, financing options through third-party partners may be available. Specific financing terms are subject to credit approval and provider availability. 

Patients who have insurance coverage are encouraged to verify their plan benefits separately. AvaOne does not submit claims to insurance and does not coordinate insurance reimbursement. Some patients may be eligible for partial reimbursement of certain services through out-of-network benefits in their plans, but this is the responsibility of the patient and their insurance carrier, not AvaOne. Patients enrolled in Medicare, Medicaid, or other government-funded health insurance programs should review our Medicare, Medicaid, and Insurance Notice for important information about cash-pay care and government benefits. 

Cancellation, Rescheduling, and Communication Policies

We ask that any cancellation or rescheduling be made at least twenty-four hours in advance of your scheduled visit. Cancellations made with less than twenty-four hours notice may be subject to a cancellation fee, the specific amount of which will be disclosed at the time of scheduling. We understand that genuine emergencies occur and exceptions are made on a case-by-case basis. Patients who repeatedly miss appointments without notice may be asked to pre-pay for future visits. 

Communication between visits is available through secure messaging within the patient portal. Response time for non-urgent messages is typically one to two business days. For urgent clinical concerns, please contact our office during business hours at (973) 679-6949. For medical emergencies, call 911 or proceed to the nearest emergency department. AvaOne does not provide emergency or urgent care services.

No referral is required to book at AvaOne. We are a cash-pay practice that operates outside of insurance networks, which means patients can book directly without obtaining a referral. Many of our patients continue their relationship with their primary care physician and use AvaOne as a complement to that care, not a replacement. We coordinate with your primary care physician on shared clinical decisions when you give us permission to do so, but we do not require a referral, prior authorization, or other gatekeeper approval to begin care. 

AvaOne is a cash-pay practice. We do not submit claims to insurance and do not participate with insurance networks. Pricing for each program is transparent and disclosed before any commitment.
